Associate Director – Outreach & Special Events

Job Summary: Associate Director Outreach and Special events will be responsible for the successful execution of special events curated by CKS (India). This position will also involve managing budgets, revenue strategies through sponsorships and delegate recruitments. In addition to these roles, the position works in a team-oriented manner by supporting and coordinating with multiple departments.

Job Responsibilities:

Associate DirectorOutreach and Special events will have the responsibility for the successful execution of CKS events. This position will also entail responsibilities to collaborate and communicate with respective teams to:

  • determine location, venue, menus and logistics pertaining to each event
  • Collaboration with content team/s for guidance on topics, content, collaterals for each event
  • Meticulously prepare and manage an outreach funnel for event sponsorships and delegate recruitments
  • Develop, seek out, and maintain relationships with sponsors, speakers, and vendors
  • promote conferences through social media platforms
  • manage and update web content by ensuring current and accurate information to specific events and Outreach activities
  • Design, produce and disseminate event articles, newsletters and email blasts
  • Assist with design and / or content of event reports
  • Create and circulate surveys through Survey Monkey and manage correspondence
  • Schedule meetings and prepare presentations with relevant stakeholders and sponsors
  • Respond to inquiries in a timely and professional manner
  • Provide outstanding customer service over the phone, email, and in person
  • Management of detailed repository of CKS events, speakers, and supporting organisations and attendees as needed
  • Design and revise templates, documents, spreadsheets to capture data for event reports
  • Regularly update databases for each activity across entire length of the event from conceptual stage to event execution and information for event reporting
  • Manage logistics for personal and staff travels and expense reports

 

Required skill sets: 

  • Key skills that demonstrate successful completion of previously coordinated events
  • Ability to work independently as well as in collaborative milieu
  • Ability for unsurpassed attention for detail and must be able to meticulously plan a framework for efficient and timebound completion of assigned project
  • Strong ethics to maintain confidential data, information sources, survey responses etc.
  • Ability to ensure data quality, consistency and accuracy and develop data visualizations for diverse audiences and prepare reports, charts, and/or graphs for documents and presentations
  • Exceptional organizational skills
  • Proficiency in verbal and written communication skills
  • Computer skills in MS Office Suite, WordPress website design and adept at using social media platforms
  • Experience in supporting and managing multiple programs and staff
  • Ability to compile data in an accurate and useful manner and extract relevant information
  • Must thrive in an environment where independence and determination are expected
  • Great time management skills for prioritising various activities strictly adhering to agreed activity schedules

Education and Experience

  • Minimum Bachelor’s Degree and minimum two-year experience in coordinating events with; and with  equivalent combination of education and experience in managing events, sales and outreach activities.
